Privacy policy

This policy explains what personal data philippineconsulates.us collects, why, on what legal basis, how long it is kept and what rights you have over it.

Who is the data controller

  • Controller: José Martínez
  • Address: 2226 2nd Ave, New York, United States
  • Email: info@philippineconsulates.us
  • Website: https://philippineconsulates.us

Because the site is operated from and hosted in the European Union, it is run in accordance with Regulation (EU) 2016/679 (GDPR). Where you are resident in a jurisdiction with its own privacy law — for example California — the rights described below are applied to you as well.

⚠️ Never send us your consular documents

We are not a consulate and we cannot process any application. Do not email us passport scans, PSA certificates, naturalisation certificates, passport numbers or any other identity document. If you do, we will delete it.

Consular applications go to the Philippine post with jurisdiction over you, through its own channels.

What data we collect

This is a reference site. There is no login, no user account, no shop and no newsletter, so the amount of personal data involved is small.

  • Technical data from your visit — IP address, browser and device type, operating system, referring page, pages visited and time of access. Collected automatically by the server and by analytics, where you have consented to it.
  • Data you send us voluntarily — if you write to us by email, we receive your address and whatever you choose to put in the message.
  • Cookie preferences — the record of the choice you made in the consent banner.

We do not knowingly collect data from children under 16, and this site is not directed at them.

Why we process it, and on what basis

  • To operate and secure the website — legitimate interest. Server logs are what allow the site to be served and abuse to be detected.
  • To measure audience and improve the content — your consent, given through the cookie banner. Withdrawing it stops this processing.
  • To show advertising, where applicable — your consent, given through the cookie banner.
  • To answer your email — legitimate interest in responding to someone who has contacted us.

How long we keep it

Server logs are kept for the period necessary for security and diagnostics and then deleted or aggregated. Analytics data is retained for the period configured in the analytics tool. Email correspondence is kept for as long as needed to deal with the matter and to comply with any legal obligation. Your cookie preference is stored for the duration set out in the cookie policy.

Who else sees it

We do not sell personal data, and we do not share it except with the providers needed to run the site — hosting, content delivery, analytics and, where applicable, advertising and consent management. Those providers act as processors on our instructions and under contract.

Some of them may process data outside the European Economic Area. Where that happens, transfers are made under an adequacy decision or under the European Commission's standard contractual clauses.

We may also disclose data where we are legally obliged to do so, or to establish or defend a legal claim.

Your rights

  • Access — to know whether we hold data about you and to obtain a copy.
  • Rectification — to have inaccurate data corrected.
  • Erasure — to have your data deleted where there is no overriding reason to keep it.
  • Restriction — to have processing limited while a matter is resolved.
  • Objection — to object to processing based on legitimate interest.
  • Portability — to receive your data in a structured, machine-readable format.
  • Withdrawal of consent — at any time, without affecting the lawfulness of processing carried out before the withdrawal.

To exercise any of these, write to info@philippineconsulates.us with enough information for us to identify you and to understand the request. We reply within one month. You also have the right to complain to your national data protection authority.

Security

The site is served over HTTPS and we apply appropriate technical and organisational measures to protect the limited data we hold. No system is completely secure, but the sensible protection here is simple: this site does not ask you for personal data, and you should not send it any.

Automated decisions

We do not carry out automated decision-making producing legal effects concerning you. Where advertising cookies are consented to, profiling for advertising purposes may occur through third-party tools; you can decline this in the consent banner, and it changes nothing about the content you see here.

Changes to this policy

We may update this policy to reflect changes to the site or to the law. The version published on this page is the one in force. Material changes affecting your rights will be signalled on the site.
